What's happening
You want to know where your meeting content goes, how long it's kept, and what you can turn off or delete yourself.
Where to look first
The legally binding explanation is the Privacy Policy. This page sums up only the parts of it people ask about most.
How your data is handled
- Recorded audio is sent in real time to a speech recognition provider and transcribed. After the meeting, it's kept briefly in encrypted storage in a data center region in Seoul (the Seoul region) to separate speakers. It's deleted as soon as speaker separation finishes, and automatically after 30 days at the latest.
- To write summaries and answers from My agent, HeyMoa sends that meeting's transcript and notes, attendee names, and your questions to an AI provider.
- When the agent uses web search, it sends search terms written by the AI to the AI model provider's search feature. Web search isn't covered by zero data retention (the condition that sent content isn't stored).
- To have work done in Linear or GitHub, you must click [Approve] on the approval card.
- External AI apps can only read what you've given them access to. A connection expires after 90 days without use.
- Deleting a note also deletes that meeting's audio, transcript, and summary, and any agent conversations that asked only about that note. You can also delete your agent conversations yourself. Only admins can delete notes, and while a meeting is being analyzed you can delete it once the analysis finishes.
- Deleted data stays in backups for up to 7 days, then is removed automatically.
- Meeting notes PDFs shared by email are kept for 30 days after sending. Invite links are valid for 1 day (24 hours) only.
- You can opt out of usage statistics with your browser settings or a content blocker. Section 5 of the Privacy Policy explains how.
For details, and for how to request access to, correction of, or deletion of your data, see the Privacy Policy.
